How to Use OCR on a Scanned PDF and Check the Text

By Asad · Published

A scan stores an image of a page. OCR attempts to recognize the letters in that image, making the content easier to search or extract. It cannot recover details that were not captured clearly, and recognized text should be reviewed before you use it in an invoice, statement or other important record.

Check whether OCR is needed

Try selecting a word in the PDF. If the selection captures text accurately, the document may already have a usable text layer. If you can only select a page image or copying returns nothing, OCR can help. Some files contain both digital pages and scans, so test more than the first page. A visible text layer can also contain incorrect recognition from an earlier scan.

Prepare a readable scan

Use straight, well-lit pages with enough resolution to distinguish small letters and punctuation. Cropped digits, shadows and blurred totals will produce unreliable results. Rotate sideways pages before recognition. Keep the source scan, and avoid repeatedly compressing it into low-quality images before OCR, because lost detail cannot be recovered by recognition alone.

Run recognition with the available settings

Open OCR PDF and select the document. Choose the appropriate recognition language where the interface offers it, then run the tool and review the text or output options it provides. Larger documents can need significant memory and time on mobile devices. Do not assume every OCR workflow creates an editable reconstruction of the original font and layout.

Review predictable errors

Check confusable characters such as O and 0, I and 1, decimal points and minus signs. Search for a phrase you can see on the page and compare copied text with the image. In tables, verify which amount belongs to which row: recognizing words correctly does not guarantee correct columns. For financial data, review every critical value against the source before exporting it.

Use the result for the right purpose

Recognized text can help with searching, accessibility or later extraction. It does not certify a record or automatically repair a complex table. If you need a faithful editable source, ask the author for the original document. For bank statements, a direct bank download or native data export is preferable to OCR when available, and any subsequent conversion still needs verification.
