Start with authorization and the source of truth

Correct your own draft, template or business document only when you have permission. If the PDF came from accounting, contract, design or records software, changing the source and exporting again is usually safer because related values and audit records stay synchronized.

Keep the original PDF. Save the corrected version under a new filename and record why it changed when the document belongs to a controlled workflow. Do not alter dates, amounts or names to misrepresent an event or another party’s record.

Determine whether the target is real PDF text

Try selecting the exact value in a normal reader. Digital text usually highlights as characters or words. A full-page rectangle suggests a scan, while unselectable sharp letter shapes may be vector outlines.

Open the free online PDF editor, choose Edit text and click the detected region. If no region appears, use the PDF text troubleshooting guide before covering the page.

Correct a typo, name, date or amount

Replace only the incorrect characters. Short corrections preserve layout more reliably than paragraph rewrites because PDF content is positioned on a fixed page. A longer replacement can overlap table lines, labels or neighboring values.

Dates and financial values need extra review. Match separators, currency, decimal places and local date format. Changing a quantity or price may require recalculating subtotal, tax and total in the source system rather than editing one visible number.

Match the original font and placement

Compare the family, weight, size, color and baseline. A substitute font with the same point size can still be wider or taller. Use nearby numerals and distinctive letters as visual references.

When you own a licensed font file, load it locally for the session. Keep the replacement inside its original space and inspect it at high zoom for alignment, then at 100% for normal reading. The font matching guide provides a detailed checklist.

Handle scans and flattened pages honestly

A scanned page contains image pixels and requires OCR before its words can become editable text. Use the OCR PDF tool for printed English and proofread the DOCX carefully, especially names, totals and similar characters.

Whiteout plus replacement text can create an authorized visual correction, but whiteout does not remove hidden content and is not secure redaction. For substantial changes, accessibility needs or a formal record, return to the editable source.

Reopen and audit the corrected PDF

Download under a new name, reopen it in another reader and visit every changed page. Search for the old and new values when text should remain selectable. Confirm page count, line wrapping, table rules, links, forms and signature status.

For an invoice or record, compare the corrected PDF with the authoritative system and retain approval evidence. A correction is complete only when the visible page, underlying workflow and stored version agree.
